RFR Listserv Terms of Reference
BASIC TERMS
Description: The Project will set up and maintain a listserv through which the Project and listserv members can share information and present problem issues, and others can respond. All subscribers not only receive messages, but can send messages that go to all subscribers.
Subject: Issues relating to immigration applications intended to reunite refugee families, notably One Year Window applications and Protected Person applications including family members abroad (DR2s).
Purpose: To provide a forum for list members to inform each other about new developments and to consult each other on challenging situations.
Membership: People who work regularly on refugee family reunification cases (NGOs, sponsors, lawyers).
GUIDELINES FOR MESSAGES
- Messages must relate to refugee family reunification applications.
- Messages must never include any personal or identifying information about an applicant.
- Messages must be respectful to all.
- Messages may be in English or in French – or bilingual
- Messages about system changes are welcome (for example, new forms, new policy or guidelines).
- Messages about new developments are welcome (for example, a certain visa office has started asking for something additional). If you are not sure if it is new or relevant, ask a colleague or send an email to rfrlist@mailbox.org
- Messages asking for suggestions to respond to unusual and challenging situations are welcome (if the situation can be explained without disclosing personal or identifying information). If you are not sure if it is a relevant question, ask a colleague or send an email to rfrlist@mailbox.org
- Messages with news relevant to refugee family reunification are welcome. Examples include news about advocacy initiatives or relevant media articles or reports.

Messages should not be requests for basic information that could be found by looking online or asking a single person. Consult our website: https://refugeefamilyreunification.ca/en/practical-information (eventually we hope to have FAQs), or RSTP (for privately sponsored cases). If you are not sure whether it is basic information, send an email to rfrlist@mailbox.org

When providing information in response to a message, send your email to the whole group (rfr@yorku.ca) rather than just to the person asking, so that everyone can benefit from the information.
The Refugee Family Reunification Project reserves the right to take appropriate action if a message violates the guidelines and, in the case of repeated non-compliance, to unsubscribe a person from the listserv.
A list member who has concerns about a message on the listserv should write to rfrlist@mailbox.org
